Appendix to the Choir Rules

Duties of Choir Officers

President  

 1.0

This is an elected honorary position and is usually as recognition of continuous and outstanding support to the Choir.

 1.1

Election is at an Annual General Meeting (AGM) for a three year period. No one person can hold the office for more than fifteen years.

 1.2

The President's one formal duty is to chair the AGM for the Election of Officers.  

 

 

Life Vice-president

 2.0

This is an honorary position awarded at the discretion of the Choir for outstanding services.  

   
 

Music Director/Conductor

 3.0

The MD is an honorary elected member of the Choir and is responsible for the musical performance of the Choir, the choice of music and the general music policy.  

 3.1

The MD is not a member of the Management Committee but may be asked at the Committee's discretion   to attend meetings to discuss policy and other matters. (S)he has no voting rights within the Choir or the Management Committee.

 3.2

The MD will rehearse the Choir as required, normally weekly.  

 3.3

If the MD is unavailable for rehearsal or concert performance (s)he will appoint a replacement.  

   
 

Accompanist

 4.0

The Accompanist is also an honorary elected member of the Choir. (S)he has no voting rights within the Choir or the Management Committee.  

 4.1

The Accompanist will   accompany the Choir on a piano or similar instrument for rehearsal and concert performance   as required and as instruments are available.

 4.2

If the Accompanist is unavailable for rehearsal or concert performance (s)he will appoint a replacement.  

   
 

Chairman

 5.0

This officer is elected annually at the AGM of the Choir. His duties include: -

 5.1

representing the Choir at formal functions. (This can be delegated to other Choir officers or members by mutual agreement.

 5.2

taking the Chair at Management Committee meetings of the Choir.

 5.3

taking the Chair at   General Meetings of the Choir (with the exception of the Election of Officers at an AGM).

 5.4

The Management Committee will appoint a Deputy Chairman from the Choir Representatives (see paragraph 8.0 below) to officiate in the absence of the Chairman.  

   
 

Secretary

 6.0

This officer is elected annually at the AGM of the Choir. His duties include: -

 6.1

making Minutes of the formal General Meetings of the Choir as required, including the AGM.

 6.2

making Minutes of the formal and informal meetings of the Management Committee as required.

 6.3

being the first line of communication with all outside bodies such as other choirs, Associations and client organisations. Exceptions to this are defined in paragraph 7.0 below.

 6.4

being responsible for all formal Choir correspondence.

 6.5

being responsible for holding the Choir's official files of correspondence and other data, all of which will be available by arrangement to all members of the Choir. Data considered to be "historical" will be held by the Honorary Archivist (see 16.0 below).

   
 

Treasurer 

 7.0

This officer is elected annually at the AGM of the Choir. The holder is responsible for monitoring the financial health of the Choir.  His duties include: -

 7.1

the preparation and maintenance of accurate accounts of Choir Funds in a manner agreed by the Management Committee. These will be available for inspection at all times by the Management Committee and Independent Examiners and by other Choir members by arrangement. 

 7.2

being the first line of communication with the Choir's bankers and other financial advisers. 

 7.3

arranging and maintaining the Bank Mandate with the Choir's Bank so that cheques may be drawn against the Accounts as and when agreed by the Management Committee. The Management Committee will decide the signatories for the Mandate but the Treasurer will ensure that they are always current.

 7.4

presenting a statement of the independently examined Accounts to the AGM.

   
 

Choir Representatives 

 8.0

There will be two representatives from the body of the Choir, one each from the combined Tenors 1 and Tenors 2 sections and from the combined Baritones and Basses sections. They are elected by the appropriate combined sections. Their duties include: -

 8.1

representing their combined sections on the Management Committee. This entails consulting with members of their sections for their opinions and suggestions and passing them onto the Management Committee.

 8.2

ensuring that new members are welcomed, put at their ease and in the appropriate section of the Choir. 

 8.3

advising the Registrar of the non-attendance of members. 

 8.4

maintaining discipline within their sections. 

   
 

Librarians 

 9.0

There are two officers for this position. They are elected annually at the AGM. Their duties include: -  

 9.1

maintaining the Music Library in good order and condition. 

 9.2

obtaining copies of new music as required.

 9.3

ensuring that all Choir members have appropriate copies of music both for rehearsal and for concert performance.

 9.4

holding publishers' catalogues of available music and bringing them to the attention of the MD when necessary.

   
 

Concert Manager 

 10.0

This officer is elected annually at the AGM of the Choir. His duties include: -

 10.1

presentation of the Choir for concert performance, on time, in the agreed uniform and in the correct configuration for the event.

 10.2

being responsible for the detailed arrangements for all concerts after the Managament Committee have agreed the date, time, venue and format for them.

 10.3

liaising as required with members of the Management Committee and with other Choir Officers.

   
 

Registrar 

 11.0

This officer is elected annually at the AGM of the Choir. His duties are: -

 11.1 

to maintain a register of Choir members and to be aware of non-attendance, particularly at rehearsals, and the reason(s) for it.

 11.2

to liaise as required with the Choir Representatives.

   
 

Welfare Officer

  12.0

This officer is elected annually at the AGM of the Choir. His duties are: -

  12.1

to investigate the reasons for significant absence of any Choir member and to determine the necessary action (if any) required to comfort and to assist that member. 

   
 

Box Office 

  13.0

This officer is elected annually at teh AGM of the Choir. His duty is: -

  13.1

to sell tickets for all Choir functions. 

   
 

Publicity Officer 

  14.0

This officer is elected annually at the AGM of the Choir. His duties are: -

  14.1

to be the main interface between teh Choir and the media, including local and national press, radio and television as required.

   
 

Transport Officer

  15.0

This officer is elected annually at the AGM of the Choir. His duties are: -

  15.1

to arrange transport for members of the Choir whenever they are attending a concert performance or other function outside Stevenage,

  15.2

to negotiate terms as required with coach and other transport organisations.

Honorary Archivist

  16.0

This officer is appointed by the Management Committee. His duties include: -

  16.1

being the main holder of all the Choir's historical material.

  16.2

collecting, collating and presenting such material in form(s) as agreed with the Management Committee.

Independent Examiners

  17.0

These will be appointed by the Management Committee to examine the Choir's Accounts at least annually. They may be Choir members but must not be members of the Management Committee. There must be at least two Independent Examiners.

Other Officers

  18.0

Other Officers may be appointed by the Management Committee as and when deemed necessary for specific purposes. Any such appointments will be notified to the members of the Choir and, if necessary, endorsed by a vote of those members present at the time.
